Mastering the Mail: Commercial Printing Mail Department’s Guide
Welcome to your Commercial Printing Mail Department corner, where precision meets efficiency! As a key player in the world of commercial printing, we understand the intricacies involved in ensuring your mailings are flawless. Here are some essential guidelines to help you navigate our processes smoothly:
Mail Panel Requirements
First things first, the mail panel must be 4 x 2 ¼ inches. This dimension ensures that all necessary information fits perfectly and is easily readable for efficient delivery.
Address Formatting
Address formatting can make or break the success of your mail campaign. Here are our golden rules:
• Delivery Address, City, State, and Zip Code CANNOT all be in the same column.
• City, State, and Zip Code can share a column.
• Company names should be in a separate column from Full Names.
• Please note that we cannot use word or PDF files for lists.
By following these guidelines, we can avoid misdirected mail and ensure that your messages reach their intended recipients.
Foreign Addresses
If you have foreign addresses, let us know if you’d like us to mail them. International mailing requires specific handling, and we’re here to assist with that.
Deduping
To maximize efficiency and reduce redundancies, we run your lists through a deduplication process:
• Household Deduping: Every last name + address in the list will receive one mail piece.
• Address Deduping: Every address in the list will receive one mail piece.
• Exact Match Deduping: Every full name + address in the list will receive one mail piece. All fields must match exactly for this to work.
NCOA Link (National Change of Address)
We run your lists through the NCOA Link system to reduce undeliverable mail. This service updates addresses to ensure you’re sending to the most current information available.
Benefits include:
• Reducing undeliverable mail by providing the most current address information.
• Lowering mailer costs by minimizing undeliverable mail pieces.
By adhering to these guidelines, you’ll not only streamline your mailing process but also improve delivery rates and reduce costs. As always, our team is here to help you every step of the way. Happy mailing!
